Healthcasts (“We”, “Us” or “Healthcasts”) respects your privacy and the security of your personal information. This Privacy Policy describes our practices with respect to information that we collect from or about you when you use our website, applications, platform, and services (collectively, “Platform”). By browsing or using the Platform, you are accepting the practices described in this Privacy Policy.
1. Information We Collect
The categories of personal information we collect depend on how you interact with the Service. We collect information that you provide to us, information we obtain automatically when you use the Platform, and information from third party sources, as described below.
Information You Provide to Us
Member Account Information
In order to utilize the features available as part of the Platform, you are required to register to become a member ("Member") and create an account profile ("Member Profile"). When you register, you provide Healthcasts with certain personal information such as your name, email address, National Provider Identifier (NPI), profession, specialty, and U.S. state in which you practice. Healthcasts may require additional information from you in order to verify your account, such as your driver's license or identification card.
You may have the option to include additional professional information on your Account profile, such as medical school, titles and affiliations, and employer.
Your Interactions with the Platform
When you interact with the services and participate in the programs and offerings available through the Platform, such as peer-to-peer clinical consultations, microsites, and peer generated content, we collect information about your engagement, including information you submit such as your name, NPI, questions and responses to inquiries, interactions with other members, search queries, online chat conversations, including chatbot sessions, form and email submissions, and support inquiries. We will also store your saved drafts of submissions, posts, comments, and messages.
Communications: If you contact us via the Platform, through email or phone, we collect the content of your messages and contact details.
Offline Communications
We collect information when you interact with Healthcasts outside the Platform, such as when you communicate with us via email, phone and text messaging, or in connection with an event, conference, or trade show that we attend or host, which we may associate with your Member Account.
Information We Collect Through Automatic Means
We log information when you access and use the Platform, such as your IP address, browser type, operating system, referral URLs, device data (such as device IDs), device settings, pages visited, links clicked, geographic location (derived from IP), and ad impressions.
We and third parties that provide services to us through the Platform may use cookies, pixels, tags, and similar technologies to automatically track interactions with advertisements, content, and emails. These may be placed by us or third parties. For more information about cookies, please see the “Cookies and Similar Technologies” section below.
2. Information From Third Parties
We obtain personal information from third party sources, including publicly available databases such as the National Plan and Provider Enumeration System (NPPES), and other data sources to verify your NPI and other Account information as well as to market to healthcare providers that have not joined the Platform.
If you choose to link, connect, or login to the Platform with a third-party service, such as Google or Apple, that third party may send us information such as your registration and profile data (for example, your name and email), as controlled by that service or as authorized by you via your privacy settings with such service.
3. How We Use Information
We may use your information for any of the purposes described below.
Provide the Platform to You
We use your information to provide you with our services and to fulfill other requests you make. This includes granting you access to features and functions available as part of the Platform, as well as personalizing services, content, and features to better match your activities and preferences. We use your information to serve you advertisements and other sponsored content. We also use your information to manage your Member Account, offer customer support, and send you technical notices, updates, security alerts, and other support or administrative messages related to the Platform. Additionally, we may communicate with you about products, services, offers, promotions and rewards, events, and programs, and provide other news and information that we believe may be of interest to you.
Administrative Purposes
We may use your information to research and develop new service offerings, generate insights such as engagement trends and brand sentiment, as well as to improve and enhance our Platform. Your information also helps us maintain network security, prevent fraud, and protect against other malicious or illegal activities. Additionally, we may use your information for direct marketing and market research purposes, including monitoring and analyzing trends, usage, and activities related to the Platform. We are committed to helping protect the safety of Healthcasts and our users, and we use your information to enforce our Terms of Service, as well as to comply with applicable legal obligations.
Other Uses
We may aggregate, anonymize, or de-identify your data. Aggregated, anonymized, and de-identified information is not personal information because it cannot be attributed to any specific individual. We may use and disclose aggregated information without restriction. If we aggregate or de-identified information, we will not attempt to reidentify such information, unless required by applicable law.
We may also ask you for consent to use your information for other specific purposes.
4. How We Share Your Information
We may share your information as described below.
Publicly Available Information
Many areas of the Service are publicly viewable by other Members. When you submit content (e.g., a post, comment) to, or interact with, a public area of the Platform, other Members will be able to see that content. In addition, certain information about you will be publicly displayed on the Service, such as your name and specialty.
Service Providers
We engage third parties, such as IT, security, and infrastructure providers, research and analytics companies, recruiting and marketing companies, and customer service providers, that assist us with providing the Service and operating our business. These third parties are not permitted to use any personal information they may receive from us for purposes other than providing services to or on behalf of us.
Artificial Intelligence Models
We use artificial intelligence language models and technology licensed from third parties to enhance your user experience and service quality, such as providing summarizations of clinical consult responses. Information shared with such third-party AI providers is not used to train AI models. In all cases, we require AI providers to keep your personal information secure and we do not allow them to use your data to train models or use for any purpose other than providing services on our behalf.
Platform Sponsors
We may disclose certain information about you to our clients, which may include pharmaceutical manufacturers, hospitals, or other institutions ("Sponsors") or a Sponsor's designated vendors ("Designated Vendors"), including, your name, NPI, questions posted, answers to questions, and other engagement details. This information is utilized by Sponsors to gather market insights, such as brand sentiment and awareness, and, in some circumstances, to engage with healthcare providers directly based on participation in a sponsored offering. The Sponsor's or Designated Vendor's use of such information is governed by our contract with them, which limits use to specific agreed upon purposes.
Our Affiliates
We may share your information with our corporate affiliates for use consistent with the purposes described in this Privacy Policy.
Law Enforcement, Regulators, Professional Advisors, and other Entities
We share your information with law enforcement, regulators, government agencies, civil litigants, our professional advisors, and other entities as reasonably necessary to: (i) comply with applicable law or regulations, court orders, subpoenas, legal process, or government requests; (ii) detect, investigate, prevent, or address actual or suspected fraud, violations of our Terms of Service, or other illegal activity or security or technical issues; or (iii) protect the rights, property and safety of our Members, Healthcasts and its affiliates, or others.
Business Transactions
In the event that Healthcasts reorganizes its business, such as a sale, merger, liquidation, receivership, securitization, or transfer assets, or to the extent we engage in business negotiations with our business partners, certain personal information that we have collected and stored may be transferred or shared with third parties as part of that transaction or negotiation.
With Your Consent
We may share information about you with your consent or at your direction in order to complete a request or transaction.
5. U.S. State Privacy Rights

6. Cookies and Similar Technologies
Cookies are small data files or code placed on your device that help us recognize you, remember your preferences, and track interactions. We and our third-party partners use cookies, pixels, tags, and similar tracking technologies (collectively, "Cookies") to enhance your experience on the Platform, analyze usage, deliver personalized content and advertisements, and for other purposes as described in this Privacy Policy.
First-Party Cookies
These are set directly by Healthcasts to manage Site functionality, such as maintaining your session, remembering login details, and tracking interactions with content (e.g., views, clicks, and time spent).
Third-Party Cookies
Advertising Cookies: Placed by third-party advertising platforms to collect data such as IP addresses, ad impressions, clicks, browsing history, and geographic location. Third-party advertising platforms may also utilize pixels to track views and clicks.
Security and Analytics Cookies: Used by tools like Google reCAPTCHA for security and bot detection and Google Analytics to collect impressions, ad clicks, IP addresses, and browsing history for Site performance analysis and improvement. This data may not be utilized by Google for its own purposes.
Other Tracking Technologies: Tracking pixels or links from third party advertising platforms are used in emails to track opens, clicks, and engagements.
Your Choices and Opt-Out Rights
You can manage your cookie preferences and opt-out of through your web browser settings or by using third-party opt-out tools. Note that disabling essential Cookies may impair the Platform's functionality. At this time the Platform does not currently detect or respond to Global Privacy Control signals.
If you are a resident of a State with applicable privacy laws, you may also exercise other rights (e.g., access, deletion) as described in Section 4 (U.S. State Privacy Rights). Opting out may limit personalized features but will not affect essential Platform operations.
7. How We Protect Your Information
We have implemented reasonable physical, technical, and organizational safeguards to help protect your personal information from unauthorized access, acquisition, or disclosure, alteration, or destruction. Although we strive to keep your personal information secure, no safeguards can be guaranteed to be completely secure, so you should exercise caution when transferring personal and other sensitive information over the Internet.
8. How Long We Store Your Information
We retain your information only for as long as is necessary to fulfill the purposes set forth in this Privacy Policy or as necessary to comply with our legal obligations under applicable law. We decide how long we need information on a case-by-case basis and depending on any applicable data retention laws.
9. Children’s Privacy
Our Platform is not directed to, or intended for, children under the age of sixteen. We do not knowingly collect information from children under the age of thirteen. If we obtain actual knowledge that we have inadvertently collected personal information relating to a child under the age of thirteen, we will delete that information from our records.
10. Updates to this Privacy Notice
We may update this Privacy Policy to reflect changes in our practices or legal requirements. We will notify you of material changes by posting the updated Privacy Policy on our website with a revised “Last Revised” date. You understand and agree that you will be deemed to have accepted the updated Privacy Policy by continuing to access or use the Platform after the new Privacy Notice has been posted.

We may need to request specific information from you to help us confirm your identity and ensure your rights set forth above. This is a security measure to ensure that personal information is not disclosed to any person who has no right to receive it. We may also contact you to ask you for further information in relation to your request to speed up our response.
You may have the right to designate an authorized agent to make privacy requests on your behalf under applicable law. Authorized agents must provide us with valid written authorization to act on your behalf.
